Creating a condition report
Once you've started a new condition report, you use our various features and tools to create a fully comprehensive report. Below is a list of all the features when creating a report.
Camera:
Once you select the type of report you are creating ("Tenancy started", "Tenancy ended" or "Condition update", the camera opens immediately. You can now begin your walk-around of the property taking photos of its condition. The camera has several useful features. NB: the app only currently supports photos, not videos.
1. Marking damage: when you take photos you will notice a button called "mark damage" in the bottom right hand corner of the screen. If the photo you have just taken has damage in it, click this button. You will be greeted by a blank text field to describe the damage in as much detail as you wish. NB, when you press this button, it will pull up the very last photo that you have taken.
2. Preview gallery: A preview gallery will appear in the bottom left corner of the screen once you have taken your first photo. You can click this at any time to see "All photos" and "Damages" you've taken. At this point you can add or remove damage from a photo or delete the photo. NB, you can't edit or delete photos once the report has been created.
When you have finished taking photos, press the "Save all" button in the bottom right of the screen to take you to the next steps of the condition report. Here you will see all the photos you have taken. You can switch between viewing "All photos" or specifically "Damages" with the buttons at the top.
Any photos with damages on have a red boarder around them for easy viewing. Before you have saved the report, you can edit or delete photos from this view too.
Other features:
At the bottom of the screen is a navigation bar with four options:
1. Notes: Here is a blank text field to add notes for this report.
2. Camera: This takes you back to the camera if you wish to add more photos.
3. Sign: Arguably the most important feature of the report. Clicking this button presents you with two options:
i. Share a report to collect a photo signature: You do this by typing in the person's details. They will then receive an SMS and / or email (depending on what you fill in) requesting their signature once the report is saved.
ii. Collection signature now: By pressing this a field is shown for the person to use their finger to sign. This will be saved when you save the final report.
4. Finish: There are a couple of different options once you press "Finish".
i. If you haven't requested a signature you will be asked whether you want to collect one or continue without a signature. Don't worry if you save the report without signing, you can request a signature even after the report is saved!
ii. If your property has a form (checklists) to complete, you will be asked to complete the form at this point. To learn more about forms, click here.
Once you're happy with the report and press complete, you will see a popup to upload all of your images. If you've taken a lot of images or have poor internet it may take a couple of minutes to upload, but it will upload all of your photos!
